Privacy Policy

Written to be understood by the person it is about — a distributor, the office, a salesman. It says the same things the app says on the screen where you agree to it.

Applies to the Field Scout app and this website. Last updated: 18 October 2026 (invoice scanning added for app version 1.1.0) · Policy version 2026-09-18 — the app records which version each account accepted.

1. Who we are

Field Scout is a product of Aadishre Technologies — a Udyam-registered micro enterprise, sole proprietorship of Nirmala Parida, at Netaji Nagar, Kaki Gaon Road, Opposite College Road, Koraput 764036, Odisha, India. Under India's Digital Personal Data Protection Act, 2023 (DPDPA) we are the Data Fiduciary for the information described here, and you are the Data Principal.

2. What we collect

WhatWhy we need it
Your mobile numberIt is your login. We send a one-time code to it and it identifies your business.
Business name and typeTo set the app up for your business and to print your name on a parchi.
Your client book: shop names, owner phone numbers, balancesSo your salesman can take orders and record collections against the right shop.
Your staff's mobile numbers and namesThe owner invites each salesman by number; that number is his login and every entry he makes carries his name.
Orders, collections (vasooli), receipt numbers and cash-jama entriesThis is the record the app exists to keep for you.
One location fix when a collection is recordedSo the owner can see that the collection was made at that shop. See section 3.
A push-notification token for your phoneSo the app can tell the owner "a collection was just recorded" without an SMS. Issued by Google's Firebase service; it identifies the phone, not you.
Basic technical records (app errors, request logs)To find out why something broke on your phone before you have to tell us.
A sale invoice you scan (from app version 1.1.0): the invoice number and date, the buyer's name and GSTIN as printed, the seller's GSTIN, the item lines and the amountsSo a bill you printed from your own billing software lands on that shop's khaata without the office re-typing it. The owner reads the paper on the phone, types the total himself and confirms; nothing is recorded until he does. We keep only what we list here. The bank details, PAN, phone numbers, addresses and the amount-in-words line on the invoice are never stored, and the photograph itself never leaves the phone — see section 5.

We do not ask for your contacts, your photo gallery or any government ID. The camera opens only when the owner chooses to scan an invoice, through Google's document scanner, and the photo stays on the phone.

3. Location

Field Scout takes one location reading, at the moment a salesman records a collection or marks a shop as closed. It is stored with that one entry and shown only to that distributor's office. It is not a trail: nothing is recorded between shops, nothing runs in the background, and the app never asks for location while it is not being used.

The salesman can refuse the permission. The collection is recorded exactly the same way, with the location simply left blank. The salesman's own screen tells him this before the phone asks.

4. Other people's information you enter

When you import a client book with shop owners' numbers, or invite a salesman by his number, that is another person's information and you are the one who collected it. We store and process it only to keep your records for you. We do not market to those people, and we do not use their details for anything else.

A receipt can be sent to your client as a PDF. The message and the link in it are about that one receipt; they are not advertising, and the client can ask us to stop at any time via the address in section 12.

5. Who else sees it

Only the services that make the app work, and only the part each one needs:

We do not sell your data, we do not share it for advertising, and no other business using Field Scout can see anything of yours. A distributor's office can see what its own staff record — that is what the app is for — and nothing beyond it.

6. How long we keep it

7. Your rights

Under the DPDPA you can:

Write to [email protected] and we act on it. You do not have to give a reason, and we will not make it difficult.

A salesman's entries belong to the distributor's records. A salesman who leaves can ask us to close his login; the entries he made stay in the distributor's books, with his name, because they are the distributor's accounts.

8. Consent

The app shows you a short version of this notice on the screen where you enter your number, before anything is sent. Continuing is your consent, and we record the date you gave it. You can withdraw consent at any time by asking us to close your account — the app stops working for you at that point, because there is nothing left for it to keep.

9. Keeping it safe

Traffic between the app and our servers is encrypted. Your login tokens are stored in your phone's encrypted storage and are excluded from cloud backups. Access to production data is limited to the people who run the service.

10. Children

Field Scout is a tool for running a business and is not directed at children. We do not knowingly create accounts for anyone under 18.

11. Changes

If this policy changes in a way that affects you, we will say so in the app before the change applies.
